Safety Inductions (SI) is a part of Ents Safety Support Ltd, trading as ESS Consultants. This notice explains how we collect, use and protect personal data when we provide online site safety inductions on behalf of our clients.

Who we are

SI is operated by Ents Safety Support Ltd (trading as ESS Consultants). When a client uses SI to issue and manage inductions, the client is the data controller and SI acts as their data processor. This means the client decides why and how your personal data is used; SI processes that data on their instructions, under the terms of a written Data Processor Agreement.

What data we process

Personal data processed about you in any declarations, inductions, discussions or correspondence and assessments in relation to health and safety will be processed in accordance with data protection law. We use this personal data to ensure safety information is shared, to help reduce the risk of injury, and to support compliance. We may also use it to provide you with support or make appropriate adjustments to protect your health, safety and wellbeing whilst attending workplaces and sites of operation.

This typically includes your name, email address, the company or role you are inducting for, your induction responses, and a record of your completion and site sign-in / sign-out.

Legal basis

Collection and use of this personal data is necessary for the legitimate interests of the business or production in reducing the risk of injury, reducing the spread of illness and ensuring the health and wellbeing of its employees and all other persons who might work with or visit the production, in accordance with health and safety law. Processing is carried out under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

How your data is kept secure

Your personal data is held securely and is only retained for a limited period of time. Data is shared on a need-to-know basis only. All submissions are held securely with two-factor authentication, with restricted access granted to authorised persons only. Data is removed in line with government guidance.

Data Processor Agreement

We process data on behalf of our clients

SI acts as a data processor. When a client uses SI to issue and manage inductions, the client remains the data controller — they decide the purpose and means of processing. SI only processes the personal data needed to deliver the induction service on the client's documented instructions, and never uses it for any unrelated purpose.

The full Data Processor Agreement sets out the legal terms, sub-processing rules, security obligations, breach-notification duties and data-return/erasure requirements that apply between SI (Ents Safety Support Ltd, trading as ESS Consultants) and each client. It is governed by UK GDPR and the Data Protection Act 2018.

Your rights

As part of UK GDPR, you may request details of the data held about you and request its removal at any time. You also have the right to access, rectify or restrict the processing of your personal data. To exercise any of these rights, contact your production or the client who invited you to the induction.
